Administrative Assistant, Purdue Foundry

Essential Functions

  • Provide high level administrative support to the Vice President and Chief Entrepreneurial Officer.
  • Provide administrative support to Operations Manager, assisting with day-to-day operations, projects, reporting, monthly invoices, and special events.
  • Serve as first point of contact for Purdue Foundry, professionally and courteously greeting all guests and directing inquiries and information to appropriate staff.


Additional Responsibilities

  • Respond to questions and inquiries from both internal and external constituents.
  • Provide excellent customer service to all visitors, clients, and constituents, building relationships and obtaining information that could prove helpful for the Foundry team.
  • Maintain a strong relationship with other University departments, Discovery Park Centers and additional Purdue Research Foundation departments.
  • Proof proposals, documents, presentations and other collateral materials for final copies. Draft documents, letters and memos.
  • Make all logistical meeting arrangements, coordinating multiple constituents and schedules.
  • Assist Operations Manager in developing agendas and presentation materials.
  • Assist Operation Manager with event planning and promotion for all Purdue Foundry events, including but not limited to stakeholder visits, pitch events, client showcase events, FoundryX events, DDX events and other events.
  • Host guests and clients for meetings and workshops.
  • Participate as team member in building relationships with key stakeholders, including investors, mentors, alumni, faculty and students.
  • Work closely with Operations Manager for all budgeting and expense reporting functions, including credit card reconciliations for all Foundry staff.
  • Ensure timely and accurate preparation of all materials for the office.
  • Perform general office duties, including phone, fax, and e-mail communication.
  • Track, order office supplies and keep inventory of stock.
  • Perform diary management and maintenance of meeting rooms.
  • Other duties as assigned.


Knowledge, Skills and Abilities

  • Strong organizational, time-management, and interpersonal skills.
  • Knowledge of Microsoft Word, Excel, PowerPoint, and Outlook required.
  • Excellent verbal and written communication skills, including telephone etiquette, planning, proofreading, drafting, editing and disseminating correspondence and reports.
  • Experience in electronic calendaring, planning meetings and coordinating schedules required.
  • Ability to efficiently multi-task, work under pressure, handle frequent interruptions and meet deadlines with minimum guidance.
  • Capable of taking initiative, assuming responsivity and handling confidential information with discretion.
  • Ability to work independently and contribute to a team environment.
  • Ability to work occasional evenings and weekends.
  • Regular and reliable attendance are requirements of this position.



  • High school diploma/GED degree required; Associate’s degree preferred.
  • Minimum of four years of excellent office management and demonstrated computing skills.
  • Demonstrated good judgment, excellent communication, strong customer service focus, diplomacy and courtesy.
  • Event planning experience preferred.
  • Experience with enhanced capabilities such as importing/exporting data, mail merge and Doodle Poll.
