Essential Functions

  • Utilize Salesforce CRM to actively create and maintain dashboards, contacts, opportunities and data tracking.
  • Formulate techniques for quality data collection to ensure adequacy, accuracy and legitimacy.
  • Track and report relevant information related to partners from both internal and external sources, including the Craft Database, alerts and news and social media sources.
  • Create and manage tools and capability to monitor Net Promoter Score within Alliance Management and other PRF areas.
  • Provide high-level administrative support to the Senior Vice President (SVP).

Additional Responsibilities

Data Management and Support

  • Support team members in the daily use of Salesforce.
  • Work with Alliance Management (AM) team to prioritize business and information needs.
  • Locate and define new process improvement opportunities.
  • Provide data capture and tracking from Book of Business and related activities.
  • Support the creation and tracking of Partner Action Plans.
  • Prepare briefing reports based on data collected.


  • Provide support to the SVP, including but not limited to:
    • Calendaring, communications, proofreading
    • Presentation and collateral material creation, refinement and support
    • Technical coordination and logistics
  • Provide occasional support in calendaring and other administrative tasks to Alliance Team Members.
  • Budgetary management, including but not limited to creation, reporting, tracking, expense coding, and purchasing.
  • Provide technical and logistics support for:
    • Book of Business, including Teams Management, scheduling, recording, process and data capture
    • PRF Leadership Initiative, including Teams Management, scheduling, recording, process and data capture
    • Other projects as assigned

Other Duties

  • Participate in Alliance Management activities and related PRF activities such as workshops, social and network gatherings, Community Engagement events, and leadership events with the specific intent to network, build relationships and make connections within the Alliance Management clientele, the Work from Purdue cohort, and Greater Lafayette.
  • Assist Program and Operations Manager with event creation, planning and execution.
  • Maintain effective relationships with peers and contacts at partner companies.
  • Participate in the creation and fulfillment of Community Integration activities and events.
  • Assist with Foreign Persons Policy training and logistics.
  • Supervise data intern (analyst) to produce reports, intelligence and opportunities for the AM team.

Knowledge, Skills and Abilities

  • Strong knowledge of Salesforce or CRM preferred.
  • Knowledge of Microsoft Office Suite required, including proficiency in Outlook, Word, Excel, and PowerPoint.
  • Ability to create reports and PowerPoint presentations.
  • Excellent written and verbal communications skills.
  • Ability to use good judgment, diplomacy, maintain confidentiality, and to exercise discretion on various operational matters.
  • High level of skill in composition, grammatical editing and proofreading are required.
  • Must be a motivated, adaptable team player with the ability to exercise initiative and to work well with others.
  • Strong organizational skills and ability to handle multiple projects necessary.
  • Extensive knowledge of PRF and University policies and procedures is desirable.
  • Understanding of the mission of the Finance area, PRF, and Purdue.
  • Must have strong problem solving and decision-making skills, as well as attention to detail.
  • Must be able to work independently, requiring minimal supervision.
  • Ability to work some evenings and weekends.
  • Ability to anticipate the Senior Vice President’s needs and proactively bring together appropriate people and resources to support the Senior Vice President in addressing issues.
  • Regular and reliable attendance are requirements of this position.


  • Bachelor’s degree preferred. An equivalent combination of education and experience may substitute for a degree.
  • Minimum five years of experience in a responsible, high-level administrative position is required.
