Executive Assistant, Economic Development Office

Essential Functions

  • Provide high level administrative support, coordination, and assistance (including management and coordination of calendars, meetings, and reservations) to the Vice President, Economic Development & Corporate Counsel and to other members of the Economic Development Office as needed.
  • Prepare and draft reports, letters, and other documents.
  • Assist with management of property portfolios.
  • Prepare presentation materials.
  • Assist with invoicing and other accounting- related tasks.
  • Manage records, invoice payments, and digital files.
  • Provide tracking and data entry in Salesforce and Yardi.

Additional Responsibilities

  • Communicate with a variety of Purdue University personnel, tenants, government officials, CEO/Presidents of businesses, and attorneys to give and obtain information.
  • Perform back-up/clerical duties for other staff within the Economic Development Office.
  • Receive, screen and direct telephone calls. 
  • Code and ensure invoices are processed and/or rebilled appropriately.
  • Prepare check requests for reimbursements as needed.
  • Determine disposition and organize incoming mail based on importance and route accordingly.
  • Create and maintain files.
  • Faxing, scanning, and photocopying as needed.
  • Make travel arrangements, including securing appropriate travel authorization and completing registration and reimbursement request forms.
  • Assist with maintenance and organization of all Real Estate records in the Vault.
  • Other duties as assigned.

Knowledge, Skills and Abilities

  • Certified Notary or willingness to become a certified Indiana Notary.
  • Excellent verbal and written communication skills.
  • Demonstrated competence in Microsoft Word, Excel, PowerPoint, Outlook Calendar and Access required.
  • Ability to use good judgment, diplomacy, maintain confidentiality and exercise discretion on various operational matters.
  • Strong organizational skills and ability to handle multiple projects.
  • Must be a motivated, adaptable team player with the ability to exercise initiative and work well with others.
  • Experience in electronic calendaring, planning meetings and coordinating schedules.
  • Experience with desktop publishing preferred.
  • Regular and reliable attendance are requirements of this position. 


  • High school diploma or equivalent required.
  • Three years of secretarial/office management experience.
  • Experience in real estate desired but not required.
