IP Docketing Coordinator

Essential Functions

  • Prepare weekly dockets for all intellectual property (“IP”) matters (in-house and outside contracted)
    • Semi-manual with transition to a docket system by end of 2022
    • Work involves reviewing status e-mails and PAIR correspondence from USPTO
  • Enter all applicable dates and deadlines into the docketing database for all correspondence received from the USPTO, foreign IP offices, and U.S. copyright office.
  • De-docket completed items in the docketing database upon review of all mail or emails received from internal and external communications.
  • Review and process incoming mail, email, courier packages and facsimiles for the IP Mangers Team as filtered by operations team.
  • Review and maintain each patent manager’s docket, including sending periodic reminders to patent managers/attorneys and staff regarding upcoming deadlines.
  • Be aware of and keep current with all USPTO, PCT, and Foreign IP rules and practices, as well as OTC procedures and practices.
  • Ensure client satisfaction is attained in all areas of the position.
  • Other duties as assigned. 

Additional Responsibilities

  • Seek and learn the basics of OTC relations and correspondence/communications with inventors, licensees, and outside counsels.
  • Work closely with the entire IP Team and OTC operations staff to achieve satisfactory results on assigned work and special projects.
  • Identify and recommend process improvements.
  • Assist as needed for special IP-related initiatives.

  • Excellent communication skills, including verbal, written, and proofreading skills.
  • Strong organizational and planning skills with the ability to manage multiple projects at once.
  • Ability to perform with minimal supervision, prioritize assignments to meet deadlines, and produce high-quality work with attention to detail.
  • Ability to take initiative and solve problems while being flexible.
  • Ability to influence and build working relationships among a diverse workforce at all levels.
  • Demonstrated good judgment, diplomacy, persuasive ability, and the ability to inspire confidence and cooperation to drive positive results within and across the organization’s boundaries.
  • General understanding of IP and/or willingness to learn.
  • Personal computer and related basic Microsoft Office skills. 

Education/Experience

  • Minimum High School Diploma/GED equivalent required.
  • Bachelor’s degree preferred.
  • Equivalent work experience can substitute for an educational degree.
  • Ideal candidate will have at least 2-4 years of IP docketing experience, and prior law firm experience.
  • Candidates must have strong experience in domestic and foreign docketing with a strong knowledge of USPTO, PCT, and Foreign IP rules and practices.
  • Familiarity with IP docketing software systems is a plus.
