Executive Assistant to the Director

The Krach Institute for Tech Diplomacy at Purdue (KITDP) is seeking an Executive Assistant to support its newly-appointed Director. This is a unique opportunity to help drive the growth of a new, high-impact organization. 

The Executive Assistant will perform functions essential to the smooth day-to-day operation of the Institute, with a focus on supporting the work of the Director. The Executive Assistant will report directly to the Director, providing administrative support, in addition to supporting other operational and strategic initiatives for the Institute as needed. 

This role requires extreme professionalism, organization, reliability, cheerfulness and agility in order to meet the needs of the Director and fast-growing Institute. The ideal candidate will be able to anticipate needs, calmly and confidently manage multiple priorities and deadlines, and take ownership of tasks and drive them to completion. 

Candidates in the DC Metro area preferred, but not required. This role may be hybrid or fully remote.

Responsibilities

The Executive Assistant will provide the Director of KITDP with critical administrative support:

  • Manage scheduling and appointments for the Director with senior internal and external stakeholders
  • Coordinate domestic and international business travel
  • Compile and submit expense reports
  • Compose correspondence, including memos, letters and more
  • Manage and update contacts
  • Develop, review and edit presentations and documentation
  • Research and analyze issues, prepare agendas and compile materials needed for meetings, presentations or decision-making purposes
  • Prepare reports and analyses, identify trends and provide recommendations or conclusions
  • Manage multiple projects simultaneously on behalf of the Director. Anticipate and track dates, events and action items; follow up with appropriate parties to ensure deadlines are met.
  • Oversee logistics and provide critical support for internal and external meetings and events (scheduling, material prep, key stakeholder coordination, on-site coordination, etc.)
  • Support operational needs across the office/Institute, including management of essential team documents; supplies and subscriptions; partnering with Finance, HR and IT on new hires and orientation, tech needs across the office, POs and vendor coordination, etc. 

Knowledge/Skills/Abilities

  • Highly developed written and verbal communication skills and the ability to exercise professional judgment across a variety of interactions
  • Must be well organized and experienced in MS Office programs, including Excel, Word, PowerPoint, etc.
  • Excellent writing, editing and drafting ability, as well as oral and written communication skills
  • Document formatting and creation of tables, charts and process maps
  • Strong interpersonal skills and ability to establish and maintain effective working relationships, spanning entry-level team members to senior-level academic, corporate and foreign policy leaders
  • Ability to communicate, coordinate and work effectively with geographically distributed staff
  • Detail-oriented; able to multi-task and work independently in a high-growth “start-up” environment
  • Strong work ethic, positive attitude, team orientation, sense of urgency and dedication to task
  • Ability to handle confidential matters with discretion

Education/Experience

  • Bachelor’s degree required
  • Minimum three (3) years related Senior Executive administrative experience or equivalent supporting senior level management
