Assistant Director, Alumni Travel

Essential Functions

  • Assist with operations of international and domestic Alumni Travel Program, encouraging continued engagement between alumni and the university.
  • Assist with regional liaison role for international alumni volunteers and networks.

Additional Responsibilities

  • Serve as primary point of contact for alumni travelers, and manage day-to-day operations, including:
    • Guide potential travelers from initial interest to registration for travel.
      • Provide all necessary support for departing/current/returned travelers.
    • Act as liaison between tour operators and travelers before, during and after trips.
    • Provide expert knowledge about all aspects of Alumni Travel Program offerings
    • Provide excellent and timely customer service to all alumni travelers.
  • Maintain accuracy of travel website and all other travel information (print, social, etc.)
    • Assist with maintenance of Alumni Travel Program social media presence via official channels, to support ongoing marketing and engagement of previous and future alumni travelers.
  • Assist with training of travel hosts.
  • Assist Senior Director with coordination for identified special offerings on select trips, including International Alumni local host, Lifelong Learning, College/Unit collaboration, Reunion, etc. experiences as appropriate.
  • Manage necessary data and reporting for Alumni Travel Program trips, including pre-departure (traveler prospect reports, host traveler data, etc.) and post-return (traveler surveys, host contact reports, etc.).
  • Assist Senior Director in administrative functions relating to support for International Alumni volunteers and networks, and related alumni-driven engagement activities including:
    • Provide assistance to networks, i.e., event support and pre/post event processes.
    • Data reporting and maintenance, i.e., event registration reports, international alumni contact information updates/non-alumni data transfer, contact reports and database coding, alumni engagement data reporting, etc.
    • Assist with ongoing communications and recruitment of new alumni leaders, as appropriate.
    • Facilitate relevant student organization/alumni network connections and coordination, to create international student awareness of alumni resources and programs.

Knowledge, Skills and Abilities

  • Excellent communications skills, both written and verbal.
  • Demonstrated ability to interact with a wide range of individuals and lead in group settings.
  • Detail-oriented and strong organizational skills, including ensuring accuracy for all travel program details.
  • Ability to multitask, supporting multiple travel programs (future departures, current travelers, and returned travelers) at any one time.
  • Familiarity with Salesforce CRM.
  • Regular and reliable attendance are requirements of this position. 


  • Bachelor’s degree required; degree in hospitality, tourism, or similar field preferred.
  • Minimum of five years of experience with at least two years in customer service or travel hospitality.
  • Customer service, project management, event planning and/or travel industry experience.
  • Experience traveling, working, living, or studying abroad.
  • Experience working in higher education settings.
  • Experience with marketing in a professional setting.
  • Cross-cultural communication experience.
