Contracts and Procurement Analyst

The Contract and Procurement Analyst oversees the vendor management program and works with departments to negotiate contracts, terminations, renewals, and amendments. The Contract and Procurement Analyst will facilitate review of proposals for large purchases and will work with departments to identify cost savings and efficiencies in procurement of goods and services.

Duties and Responsibilities (Essential Functions):

· Collect and review due diligence information for regulatory compliance and evaluation of risk.

· Review contracts for required terms and assist Relationship Managers in contract negotiation and pricing structure.

· Track cost savings obtained through negotiations, terminations, and reducing redundant processes and vendors across multiple departments.

· Provide vendor management from Day 1 – including attending exploratory meetings and helping identify stakeholders throughout the Credit Union that need to be included in decision making.

· Monitor expiration and renewal dates and coordinate with Relationship Managers for performance of annual reviews of vendors.

· Track and report contract status and compliance to management.

· Administer vendor management application, implementing enhancements as needed.

· Triage contract review for General Counsel, including identifying priorities, creating templates, and establishing parameters for contracts that do not require legal review.

· Analyze vendor spend to identify highest risk vendors and invoice comparison to contracts.

· Consolidate procurement for office supplies and other common goods to realize cost savings.

· Coordinate with Accounting Services and Finance to assist with budgeting and invoice inquiries.

· Establish and maintain supplier relationships by serving as a single point of contact for contractual matters

Knowledge, Skill, and Ability Requirements:

· Bachelor’s degree required with major in Accounting, Pre-Law, Business, Political Science, Technical Writing, Finance, Management, or similar field preferred;

· Minimum of three years progressive responsibility with quantifiable results in contract negotiation, administration and/or management

· Experience managing the RFP process for enterprise initiatives

· Compliance, legal, or academic research skills

· Critical thinking and problem solving skills

· Time management skills, including ability to manage several competing assignments and complete them in an accurate and timely manner

· Ability to work well in a team environment and individually

· Superior ability to communicate verbally and in writing, in a professional manner

· Ability to simplify and summarize complex subjects for daily use

· Computer skills including Microsoft Office

· Ability to communicate, verbally and in writing, in a professional manner when dealing with employees, members, vendors and company contacts

· Ability to follow the core values of honesty, integrity, mutual respect, pride and ownership

Work Environment/Physical Demands:

· This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phone, photocopiers, filing cabinets and fax machines

· This position requires manual dexterity, the ability to lift files and open filing cabinets

· This position requires sitting, bending, stooping or standing as necessary
