Position Summary:


The Vendor Management Intern administers and organizing the credit union’s vendor management process.  This position includes gathering and reviewing due diligence information from vendors, coordinating risk assessments with our internal vendor Relationship Managers, and assisting in completing the vetting process.  The Vendor Management Intern will be responsible for assisting in departments to manage their vendor relationships throughout the full vendor management life cycle.

Duties and Responsibilities (Essential Functions):    

  • Manage the coordination of the vendor intake process and ensure vendors meet requirements and are an approved vendor prior to conducting business.
  • Utilize the credit union’s vendor management systems (nContracts and nVendor) to add, maintain, track and organize vendors to ensure all required documents and data are uploaded and updated.
  • Collect and review due diligence information for regulatory compliance and evaluation of risk.
  • Perform ongoing monitoring of vendors to ensure risk assessments are complete and meet credit union requirements.
  • Review vendor contracts and related documents and input source data into vendor management systems.
  • Gather and compile data to develop monthly, quarterly and annual reporting.
  • Perform routine and ad hoc administrative tasks in support of vendor management
  • Respond to employee inquiries and requests and explain policies and procedures for contracting and for using our vendor management systems.
  • Assist Vendor Management team with tracking cost savings obtained through negotiations, terminations, and reducing redundant processes and vendors across multiple departments.
  • Monitor contract expiration and renewal dates, provide notifications to Relationship Managers and coordinate with Relationship Managers for performance of annual reviews of vendors.
  • Administer the vendor management systems, implementing enhancements as needed.


Knowledge, Skill, and Ability Requirements:


  • Recent graduate or current undergraduate student with a major in Accounting, Pre-Law, Business, Political Science, Technical Writing, Finance, Management, or similar field preferred



  • One year experience working in an office environment preferred
  • Entry level experience with contracts or statements of work, or knowledge of vendor or contract management processes preferred



  • Compliance, legal, or academic research skills desired
  • Strong organizational skills and attention to detail
  • Critical thinking and problem solving skills
  • Time management skills, including ability to manage several competing assignments and complete them in an accurate and timely manner
  • Ability to work well in a team environment and individually
  • Ability to communicate verbally and in writing, in a professional manner
  • Ability to simplify and summarize complex subjects for daily use
  • Computer skills including Microsoft Office (particularly Excel) and SmartSheet; experience with nContracts or nVendor is a plus
  • Ability to communicate, verbally and in writing, in a professional manner when dealing with employees, members, vendors and company contacts

Work Environment/Physical Demands:

  • This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phone, photocopiers, filing cabinets and fax machines
  • This position requires manual dexterity, the ability to lift files and open filing cabinets

This position requires sitting, bending, stooping or standing as necessary
