Essential Functions

  • Manage the day-to-day operations and projects for multiple Associate Vice Presidents for Development and/or executive level senior team members.
  • Develop and maintain liaison relationships with leadership and staff throughout all areas of PFLF as well as with Purdue University leadership and academic partners.
  • Lead, manage and execute the process and logistics for the PFLF Quarterly Business Reviews, in partnership with PFLF leadership and fundraising teams.
  • Lead, manage and execute the process and logistics for the PFLF Purdue Offers Development Support (PODS) structure, in partnership with PFLF PODS leads and fundraising leadership.
  • Analyze fundraising unit systems and procedures for day-to-day operations executed by PODS administrative support professionals and take appropriate action to implement the most efficient best practices for fundraising support needs. 

Additional Responsibilities

  • Provide work direction and mentor administrative support professionals within the PODS administrative support team under the direction of the Chief of Staff.
  • In support of the Associate Vice Presidents’ special campaign and management assignments – design ‎and generate ‎reports, ensure CRM reflects accurate interactions, disseminate, and gather information to ‎and from high level internal and ‎external constituencies, including donors, prospects, ‎campaign committee members, deans and ‎administrators, and directors of development.
  • Coordinate the process and logistics for the PFLF annual goals and metrics, in partnership with PFLF fundraising and advancement operations leadership.
  • Initiate requests and gather data, analyze information, and supervise compilation of data in support of the Associate Vice Presidents for Development and Chief of Staff.
  • Create, edit, and maintain project timelines and PowerPoint presentations.
  • Manage coverage for administrative support professionals during transitions and extended leaves.
  • Provide training and materials, including documented instructions for PODS administrative support professionals’ responsibilities and initiatives.
  • Coordinate agendas for the Associate Vice Presidents for Development and Chief of Staff team meetings, oversee the development of supporting materials and track follow-up actions.
  • Cross-train the PODS administrative support professionals; actively offer growth opportunities through shared assignments across team members as needed to complete projects and responsibilities.
  • Monitor and track multiple timelines and budgets.
  • Resolve issues; make recommendations for resolution, or route communications for resolution as appropriate with impeccable tact, diplomacy, and judgment. 


  • Ability to use good judgment, diplomacy, maintain confidentiality and to exercise discretion on various operational matters.
  • Knowledge of the Salesforce CRM database is necessary for success in this role.
  • Must be a motivated, adaptable team player with the ability to exercise initiative and to work well with others.
  • Must be able to represent PFLF and Purdue University with diplomacy and tact.
  • Strong organizational skills and the ability to handle multiple projects and priorities is necessary for success in this role.
  • Must have strong problem-solving and decision-making skills, as well as an attention to detail.
  • Must be able to work independently, requiring minimal supervision.
  • Occasion travel may be required. 


  • Five years of managing the day-to-day operations of a team of professionals in a fast-paced work environment or related experience is required.
  • Experience working with leadership or multiple executives or related experience at the same time is required.
  • High level of skill in composition, grammatical editing and proofreading are required.
  • Three years of Microsoft Office and Office Suite is required.
  • Excellent written and verbal communication skills are required.
