Essential Functions

  • Manage all School stewardship planning and donor recognition programs by working with the Chief Development Officer and the Director of Development (DoD) and University Development Office (UDO) Stewardship office to ensure donors are properly acknowledged for the impact on the School, including managing the yearly stewardship process for endowments and ensuring timely responses.
  • Work in cooperation with the CDO and the University Development Office to create and execute annual fund strategies, including the School’s role in the Purdue Day of Giving, Renewal/Lapsed/First time Donor initiatives and other various parameters of donors.   
  • Oversee all School fundraising appeals, including annual fund solicitations and major gift proposals, by working closely with the CDO and the DoD as well as the College of Engineering development staff and UDO annual giving personnel.
  • Work collaboratively with the Head of AAE, as well as faculty and staff to ensure consistent stewardship and engagement of donors.
  • Provide exceptional customer service to internal and external audiences, representing AAE and Purdue Research Foundation with tact and professionalism at all times.
  • Provide proactive management of weekly gift acknowledgement letters and other general correspondence.
  • Initiate gift acknowledgement letters, as well as managing birthday and holiday cards.
  • Create and manage an effective and efficient process for the annual stewardship of endowments.
  • Manage the thank you letter process from students for scholarships to ensure prompt responses are given to the donors.

Additional Responsibilities:

Alumni Relations

  • Develop and coordinate systematic programs and services that enhance alumni relations for the School.
  • Collaborate on effective alumni engagement and communications opportunities.
  • Assist with the drafting and distribution of alumni correspondence as needed. Respond to alumni inquiries with accurate and timely information.
  • Participate in alumni, friend, and corporation/foundation prospect strategy meetings as requested and develop ideas to help accomplish goals.
  • Assist with Annual Fund and Rally Line activities.
  • In cooperation with the Marketing and Communication Office, assist with the development and implementation of communication for alumni and donors.
  • Assist with the planning of on-campus visits by alumni prospects, corporate/foundation partners, recruiters, researchers, guest speakers, and special event guests.
  • Serve as the liaison for Purdue University Alumni Association and other university and college committees.

Stewardship

  • Assist with arrangements for visitors to campus, including setting up meetings and tours. 
  • Coordinate meetings between scholarship recipients and donors, when the donors come to campus.

Administrative

  • Provide high-level administrative support to the CDO and the DoD in the School of Aeronautics and Astronautics, including calendaring and meeting coordination.
  • Organize, manage, and coordinate all travel for AAE CDO and the Director of Development and guests as necessary, including interpreting, implementing and communicating University and Purdue Research Foundation policies.
  • Provide database support, including notifying UDO of changes to biographical information in Advance; enter and monitor Pipeline proposals as needed and enter contact reports when requested.
  • Implement and maintain reliable and effective processes related to travel, events, and information management, including the monthly expense reporting reconciliation.
  • Develop and maintain a detailed process manual of work instructions for this position.
  • Create an effective and efficient process for the annual stewardship of endowments.
  • Work collaboratively with the School’s Business Office and monitor all endowment balances and audit expenditures to ensure appropriate distribution of funds and proper stewardship; resolve inconsistencies.
  • Process and follow gift-in-kind paperwork, ensuring proper credit is recorded and acknowledged with the donor.

Knowledge, Skills and Abilities

  • Ability to represent the School, College, and University with tact and diplomacy at all times, while balancing multiple tasks and interruptions.
  • Detail-oriented and deadline driven with a high degree of organization.
  • Exceptional written and verbal skills, as demonstrated through interpersonal interactions.  Handle confidential information with discretion.
  • Word processing, proofreading, and editing skills are essential.
  • Ability to interact with stakeholders from a wide range of professional and cultural backgrounds.  
  • Ability to take initiative to solve problems, assume responsibility and meet deadlines. 
  • Expertise in Microsoft Word, Excel, Outlook, and PowerPoint is required.  Familiarity with Advance, CRM’s and SharePoint database software is highly desirable. 
  • Familiarity with Purdue University and the School of Aeronautics and Astronautics or a similar program is preferred.
  • Some evenings and weekend work may be required.
  • Regular and reliable attendance are requirements of this position.

Education/Experience

  • Bachelor’s degree preferred in English, journalism, communications or related field.
  • A minimum of three years of related experience in advancement, stewardship, development, alumni relations, marketing, and/or writing is preferred.
