Essential Functions:

  • Provide administrative support to the Directors of Development, Director of Alumni Relations and Special Events, and Manager of Development Operations and Donor Stewardship.
  • Professionally and courteously provide excellent customer service to external and internal audiences, building relationships and obtaining information in support of the Advancement team.
  • Administer office resources to provide timely and accurate responses to inquiries into the College of Science development office from alumni, donors, and friends of the University.
  • Provide support to Chief Development Officer and Director of Corporate and Foundation Relations as needed.

Additional Responsibilities

  •  Manage the College of Science’s accuracy of donor data and generate donor status reports, management reports, Cognos, Sharepoint, and others as needed.
  • Assist in implementing best practices and work with the Development team to execute strategies for effective cultivation and stewardship of donors during campus visits
  • Systematically process gift downloads and coordinate gift acknowledgements on a regular and timely basis. 
  • Craft specialized written correspondence on behalf of the College’s Development team.
  • Organize meetings, visits, and appointments using MS Outlook; respond to high volume of requests for appointments and presentations.
  • Coordinate all aspects of travel including flights, hotels, rental cars, credit card and travel documentation, and meetings with others.
  • Prepare reports and background briefings as requested.
  • Process and track expense and reimbursement forms.
  • Assist with event preparations and event follow-up.
  • Track office supplies and order as needed; track event and gift inventory; order items as needed in conjunction with supervisor.
  • Answer phone, make copies, maintain electronic and paper filing systems.
  • Use independent judgment to respond to inquiries from the highest levels of the University, alumni, sponsoring agencies, and corporate entities.
  • Sustain knowledge of up-to-date development procedures and computer technology to enhance the development process and maintain efficiency.
  • Other duties as assigned.

Knowledge, Skills and Abilities:

  • Excellent written and verbal communications skills.
  • Ability to interpret and articulate the mission of Purdue University.
  • Must be able to interact with stakeholders from a wide range of professional and cultural backgrounds.
  • Ability to use tact, good judgment, diplomacy, maintain confidentiality and exercise discretion.
  • Must be a motivated, adaptable team player with the ability to work well with others in a team environment with minimal supervision.
  • Strong organizational skills and attention to detail.
  • Excellent customer service orientation.
  • Knowledge of MS Word and Excel required.
  • Knowledge of Advance CS is preferred.
  • Word processing, writing, and editing skills required
  • Must be able to manage data and run reports from a variety of databases.
  •  Regular and reliable attendance are requirements of this position.

Education/Experience:

  • Bachelor’s degree preferred.
  • At least one year of experience required.
  • Experience at Purdue University or development experience preferred.            
  • An equivalent combination of education and experience will be considered.
