Gift and Data Services Associate

Essential Functions:

  • Process all types of gifts to the Foundation that are received from various sources, including individuals, corporations, foundations, organizations, and other entities.
  • Prepare and maintain biographical information in the development database.
  • Assist University Development Office and business office staff with questions regarding gift processing.

 Additional Responsibilities:

  • Identify the method of gift entry by gift type.
  • Determine the correct gift amount for deposit.
  • Process all gifts, corporate matching gifts, and major gifts.
  • Process gifts of securities by extracting data from the in-house database.
  • Extract wire transfers from Purdue University Treasury Department’s database.
  • Process Rally Line gifts.
  • Reconcile batches and complete special population files for the Rally Line.
  • Perform daily credit card reconciliation.
  • Contact donors to verify credit card information.
  • Assist twice a year with WBAA fund drive.
  • Participate on phone bank for Purdue Day of Giving.
  • Follow all cash handling procedures as legally required.
  • Scan, index, and/or file gift documentation for audit.
  • Add new records and purge records in development database.
  • Update records in development database by adding marital status, births, employment, and deaths.
  • Assist with special biographical coding projects.
  • Assist university staff unable to enter payroll giving in Employee Self Service.
  • Complete special audits or other projects as assigned.
  • Prepare system corrections as necessary.
  • Other duties as assigned.

 Knowledge/Skills/Abilities:

  • Knowledge of Purdue University /PRF cash handling procedures.
  • Personal computer and related software skills necessary.
  • Confidentiality, organization skills and attention to detail.
  • Ability to work well with others in a team environment with minimal supervision.

 Education/Experience:

  • High school diploma/GED required.
  • Some experience in clerical, bookkeeping, and data entry work preferred.
  • University accounting experience is preferred.
  • Experience in assisting customer or constituent relationships through excellent written and verbal communication.
