Essential Functions:

  • Oversee all stewardship and donor relations efforts for the College of Veterinary Medicine.
  • Coordinate and administer all aspects of the College’s annual fund program.
  • Work in cooperation with the Director of Advancement and/or the University Development Office to create and execute annual fund strategies including the College’s role in the Purdue Day of Giving, Grateful Client Program, all donor initiatives and Class Reunion Giving.
  • Oversee the stewardship of the scholarship award process for the College.
  • Maintain a modest portfolio of donors that require ongoing stewardship and/or might involve special attention.
  • Assist and participate with events as part of the Advancement team as needed or directed.
  • Work collaboratively with the University Development Office and IT Department to provide mailing lists and information as needed or directed.
  • Serve as a resource for alumni and donors on any and all donor and development related issues or requests.

Additional Responsibilities

Stewardship Coordination

  • Initiate, administer, and follow up on stewardship efforts for all College of Veterinary Medicine donors.
  • In coordination with the Director of Advancement and Senior Director of Development, develop and implement individualized stewardship plans for all principal/major gift donors on a recurring basis.
  • Maintain the individual and corporate honor rolls and all award and recognition lists. 
  • Analyze and compile all donor lists and giving data/statistics for the annual report.
  • Work collaboratively with the College Business Office and monitor all endowment balances and audit expenditures to ensure appropriate distribution of funds; resolve inconsistencies.
  • Collaborate with University Development Office (UDO) to provide information needed for annual endowment stewardship reports.
  • Develop and implement consistent stewardship and acknowledgment letter processes.
  • Prepare informative and timely gift reports for departmental use and other areas as needed.
  • Coordinate with the Office of Student Services to process thank-you note process from students to scholarship donors.
  • Create and/or coordinate with the Director of Advancement and Senior Director of Development all personal acknowledgements for donors.
  • Attend and/or assist with College events and conferences.
  • Develop and implement corporate sponsorship program working with Student Services and other appropriate College teams.
  • Produce regular social media content for the College Communications team to post.
  • Appropriately delegate portions of projects to the Administrative Assistant with oversight from the Chief Development Officer.

Donor Relations/Gift Processing

  • Interface with Development Services and College Business Office to appropriately handle gifts and allocate monies to the correct designated accounts.
  • Manage In- Memoriam program and market program to alumni and friends.
  • Oversee and represent the College with the University Development Office (UDO) on all direct mail pieces and Rally Line activities.
  • Direct as needed any College-generated appeal initiatives such as specific solicitations for scholarship funds and special projects.
  • Organize, manage, and guide annual class giving campaign.
  • Write, prepare, and distribute stewardship correspondences, reports, and fundraising materials to donors.
  • Draft donor-related correspondences such as letters, condolences, congratulations, and recognition of achievement for the Dean.
  • Respond to donor inquiries with accurate, courteous, and timely information to reinforce positive relations with the College and Purdue University.
  • Provide, as directed, a variety of donor lists/reports as requested by Dean, DOA and SDOD. 
  • Investigate and resolve all issues pertaining to funds received but not recorded, including gifts-in-kind and estate gifts.

Advancement Operations

  • Generate and process solicitations for games, annual giving, class giving, and other events.
  • Develop and maintain a current standard operations manual for College Advancement Office procedures.
  • Serve as a resource person for all faculty and staff on internal development issues.
  • Assist the Director of Alumni Relations and Special Events with multiple on- and off-campus projects and events including annual fall conference, class reunions, emeritus dinner, and honors and awards banquet.
  • Provide editorial support for writing and editing of all publications for the College.
  • Function as development database (Advance C/S) analyst for office staff.
  • Produce customized reply instruments, pledge reminders, flyers, brochures, save-the-date notices, and other correspondence as necessary.


  • Serve as an active member of the College Scholarship Committee and participate in scholarship selection and award processes.
  • Serve as the liaison between Advancement and the Office of Student Services.
  • Serve as the liaison between student scholarship recipients and the donors on all acknowledgements and thank you letters.

Knowledge, Skills and Abilities:

  • Ability to represent the College, University, and Purdue Research Foundation with tact and diplomacy at all times.
  • Excellent written communication and interpersonal skills required.
  • The ability to interact with stakeholders from a wide range of professional and cultural backgrounds.  
  • Able to take initiative to solve problems, assume responsibility and meet deadlines. 
  • Expertise in Microsoft Word, Excel, Outlook, and PowerPoint is required.
  • Knowledge of Advance C/S and Donor Services are highly desirable. 
  • Professional, thorough, detail-oriented and able to work through interruptions, capable of balancing multiple and varied tasks, and handle confidential information with discretion.
  • Some evening and weekend work required
  • Regular and reliable attendance are requirements of this position.


  • Bachelor’s degree preferred.
  • Three years of related experience in advancement, stewardship, development, alumni relations, marketing, and/or writing.
