Essential Functions:

  • Manage the day-to-day operations of the Friends of Convocations annual fund program including planning, implementing, and managing the execution of annual fund solicitations, data analysis and reporting, special event and activity planning, donor benefits and services, mailing and communications planning and management, and other fundraising-related administrative functions.
  • Oversee operations of the Friends of Convocations Advisory Board.
  • Cultivate, solicit, and steward a portfolio of corporate donors and sponsors for gift in kind donations.
  • Cultivate, visit, solicit, and steward annual donors.
  • Design and implement a comprehensive donor services and stewardship operation.
  • Pull together and analyze donor data and reports to develop operational strategies focused on retaining donors and increasing fundraising dollars.

Additional Responsibilities

Donor portfolio:

  • In collaboration with the Director of Development, research, identify, cultivate, solicit, and steward the portfolio of corporate and trade donors in gift in kind donations.
  • Meet visit goals set by the Chief Development Officer for Student Life with annual gift donors to cultivate and solicit additional giving.
  • Design and implement a compelling benefit structure and fulfillment program.
  • Implement appropriate systems to document, process, and receive pledges and pledge payments.
  • Communicate with programming and marketing colleagues to manage implementation and placement of donor credits and recognition.

Friends of Convocations Advisory Board and Board alumni:

  • Attend all board meetings and retreats.
  • Disseminate fundraising updates and priorities to the board.
  • Support Board members’ ability to achieve fundraising objectives and steward donors.
  • Assist in creating the board agenda and initiatives.
  • Oversight of board operations including meeting planning, events, and governance activities.

Friends of Convocations annual giving program:

  • Plan, prepare, and implement comprehensive annual fund campaigns, including cultivation, solicitation, and retention strategies.
  • Manage day-to-day activities related to the Friends of Convocations giving clubs and donor benefit levels in order to meet fundraising goals.
  • Produce and oversee first-rate special events for donors, in collaboration with colleagues.
  • Analyze donor data and reports to develop operational strategies.
  • Design and implement a comprehensive communication system across multiple platforms.
  • Oversee and coordinate proper gift recording, acknowledgement, reporting functions.
  • Maintain a proactive relationship with the gift processing functions of the University Development Office, working to streamline gift-processing procedures and maintain the accuracy of donor records.
  • Provide timely communication to relevant business partners about the status and nature of gifts received.

Donor services and benefit management:

  • Provide exceptional customer service for any matter related to Purdue Convocations, Friends of Convocations, and indirectly, the performing arts at Purdue.
  • Communicate with the box office to handle special requests, resolve ticketing issues, and implement long-term strategies for improvement of donor services.
  • Provide performance and event-related communiques to Friends of Convocations in a timely manner.
  • Document Friends of Convocations engagement, activities and development efforts.

Other Duties

  • Provide support for the capital campaigns and major gift solicitation processes and initiatives as needed.
  • Under the direction of the Director of Development, manage the grant research, writing and submission process.

 Knowledge, Skills and Abilities:

  • Proficiency in Microsoft Office computer applications (Word, Excel, Outlook, PowerPoint).
  • Excellent verbal/written communication skills with ability to build relationships with a diverse group of staff, faculty, alumni, and corporate partners.
  • Strong organizational and time management skills with ability to plan and implement directives.
  • Excellent interpersonal and customer service skills.
  • Ability to work occasional evening and weekend hours in addition to standard office hours.
  • Tactical knowledge of fundraising and donor services preferred.
  • Regular and reliable attendance are requirements of this position.


  • Bachelor’s degree preferred; Liberal Arts or Management is preferred.
  • Event management, project management, fundraising, and/or closely related experience.
  • Previous fundraising experience in a university setting preferred.
  • Previous experience working in a theater/arts focused organization preferred.
